The end of the year is fast approaching, and it’s likely that you and your team might be taking time off to celebrate the festivities.There are a few tasks we recommend ticking off your to-do list, to keep your practice running smoothly this festive season.Here’s your guide to end-of-year housekeeping 👇Provide accurate festive opening hours - Make sure any variations to your opening hours are reflected wherever you display them in your practice and online (eg on your website and your Google Business profile). Ensure your calendar availability is up-to-date - Make sure your practitioners’ availability is aligned with time off or varying opening hours – so appointments are only booked when someone is actually available!💡 Top tip: You can use schedules, calendar override and opening hours in Dentally to easily reflect individual or practice-wide time off.Update your practice voicemail – Mention your festive opening hours, and direct patients to recall booking lin

How to customise email signatures

Hi, what are the guidelines for customising email signatures to be more on brand and match that of our main email system, or ideally, will Dentally ever integrate with Office 365.for example as a mail relay so it's all handled in one place?I am keen to tailor the messaging and offers on the patient Comms as we send most of this out through Dentally to existing patients. Unpaid invoices by patients who say they were exempt

hello. If a patient informs the practice that they were actually exempt after the treatment plan was completed, invoice created and claim sent for the UDA. Its my understanding that the NHS deducts that money from the payment they make to the practice next month because technically they think we were paid by the patient.The patient then refuses to pay the invoice when we contact him for the unpaid treatment and its at that point that he informs us that he was exempt when treatment plan started. What needs done in this situation to basically recover that amount? Thank you

Integration with more POS solutions

I am pushing for our POS and payments provider to integrate with Dentally, do you have any more on your roadmap other than Dojo and Worldpay, and what could be done to accelerate this if possible?We would like invoices to show up on the till without having to be manually typed in for payment, with the line items matching the invoice.Thanks

Better system for tracking estimates

Hi,Dentally currently isn't the most easy place to retrieve estimates that have been sent to patients, or to track version control, or comments etc. with it all being linked to correspondence is ok, but a bit cumbersome to have to keep clicking in,.downloading and opening documents to find where you were at Surely there is a better way.... a full revamp of the estimates section is needed, with some form of database / record on creation so there is an index / relation to what has been sent,.ideally with version control as well. Is this on the roadmap, or could be added please? 🙂

Adding call data to patient correspondence without going via Dentally mailbox

Keen to understand if and when it would be possible to log call data directly into a patients correspondence record without having to send it to the Dentally mailbox first which is what we have to do at present, or if this is being looked at or developed in the roadmap?We also produce documents that we have to dump then attach to patient records, if this could go straight in without a two step process this would be best. What Intranet Platforms and Communication tools are you all using?

Hi everyone! Apologies for going slightly off-topic, but I thought this would be a great place to ask other practice managers and owners what intranet platforms you’re using.I’ve developed an intranet for our team, but I’m having an issue that’s been bugging me—the ‘search contents’ function isn’t working as intended. This makes it difficult for our team to search keywords and find specific pages quickly, especially for FAQs. It’s become quite a frustration!I’d love to hear what platforms you’re all using for your practice intranets, especially if you’ve found one with a reliable search feature!Also, what tools are you using to keep your team connected for internal communication (Slack, Teams, etc.)?Any insights would be much appreciated. Incremental updates for rota diaries

Hi all, It seems that the rota diaries api endpoint does not have an option to only request diaries that have been updated recently. Right now i have to run a full load every time i want to make sure my rota diaries are up-to-date. Is there a different method required to get incremental updates for rota diaries, or is this not a possibility now?

API treatment_plans endpoint parameters not working

Hi all, i'm trying to read treatment plans that were created between january 1 and january 4. Per the API documentation i call the endpoint like so:https://api.dentally.co/v1/treatment_plans?created_after=2024-01-01&created_before=2024-01-04 However, this returns all treatment plans. The first record returned has a created_at value of 2024-10-10 (today). No matter what dates i enter for created_after and created_before, it always gives me the same response. Am i doing something wrong here? Or is there a bug in the Dentally API?

Are you explaining your deposits?

We have previously instructed the team to explain all transactions, including deposits, to ensure that incorrect deposits are not linked when a new invoice comes in. However, they are frequently forgetting to unlink and match the deposits to the correct invoices. I would love to hear how you are managing this @Lesley Morgan-Barlowx

Filter in Appointments tab and Accounts tab

Hello! We have been using dentally for 10 years and consequently patients have many appointments and payments/ invoices. It would be really helpful if there was a way of filtering e.g.In appointments tab being able to filter on WHO, WHAT & STATUS to enable a quick view of how many times a pt has DNA’d or Cancelled at the last minute; quickly view when pt’s last exam was. In accounts tab Invoices being able to filter on INVOICE, DATE, SUMMARY and Payments filters DATE, METHOD, PRACTITIONER. Also to have a date range shown option for both Payments and Invoices: last 3years; last 12months, last 6 months etc.Anyone else think that this would be useful?😊

Dentally chat and automation

I am trying to encourage the dentists to be up to date with clearing out reports. I would like to create a task that pops up each week to remind them. I would envisage that once ticked as completed it disapears until the next week when pops up again…….I am struggling to set this up as when I complete it immediately pops up as a new task. Which is not as I intended. Any help appreciated.
