Your appointment finder has had a makeover! 📅✨

Introducing your improved booking tool – making it easier than ever to book appointments seamlessly 📅🚀 We’ve made some exciting changes to the appointment finder. With improved filtering and a new view, you’re able to identify slots quickly and book appointments all in one go - reducing your workload and making for a smoother patient experience. Plus, you can now search by zone group! If your practice uses zones to block out time for particular appointment types such as emergencies, this filter makes it easier to find what you need. This will give you more time to focus on your patients, answer their questions and provide a smooth and seamless exit experience after their appointment. So what’s new?With Dentally’s improved appointment finder you can:Quickly find the appointment slots you need – With an intuitive, easy-to-use interface and improved date picker, you can see at a glance which slots are available, and scroll easily to find the right one. Search by zone group – Include or exclude particular zone groups so you only see suitable slots. Booking an emergency appointment? Limit your view to just emergency slots – reducing the time spent searching. Book appointments from within the tool – No need to jump back and forth between windows; once you've found a slot, get the patient booked in swiftly and easily.For a detailed overview to the appointment finder and its new features, read our guide here. Don't worry - if you can't see the new finder yet, you will do soon! 💡 Top tip: In order to benefit from zone searching, you’ll need to ensure you have grouped your zones first – this feature only works if your zones are grouped, so follow our handy guide here to get started! How do I use the appointment finder?To use the tool, in your Dentally calendar, click the magnifying glass 🔎 icon in the top right corner. Here you’ll see your shiny new finder view! Use the dropdowns on the left to filter by date, practitioner, duration and zone group. In the window on the right, scroll through to find the perfect appointment slot for your patient. Use the ‘Book’ icon 📖 to create the appointment there and then - or click the ‘Calendar’ icon 📅 to go to that appointment slot in the diary.Everything you need in one handy window – it’s that simple! Try our appointment finder now The improved appointment finder will save you time with every patient – meaning they'll spend less time waiting at reception. With this handy tool in place, you can find and book appointments quickly, with little change needed to your normal workflow. Dentally Imaging Bridge Update 🩻🚀

The Dentally imaging bridge has had a bit of an upgrade and to make sure you are in the know on how to use the new workflow we wanted to provide you with some insights into why we have made these changes and some step-by-step instructions highlighting the new patient conflict workflow. How the imaging bridge works 🩻The imaging bridge Chrome extension is a very simple application, that is designed for you to quickly open and view images for a patient. It uses the patient ID stored within Dentally and then pushes that information through to your local DI software.The imaging bridge will then open the images in the linked third-party DI software based on this patient ID. If you see patients at multiple locations, we always recommend you verify the patient’s name and details in the imaging software that the bridge opens to ensure you are viewing the correct record.  Why have we made these workflow changes 🤔Recently, we have become aware that some practices may not be verifying the patient details of the images opened via the bridge. Since the imaging file opened in the DI software is controlled locally by the DI software and not by Dentally, it is essential to double-check that the images match the patient you are seeing. To enhance this process, we have introduced a new workflow. If a potential conflict is detected - where the patient in Dentally and the patient identified by the third-party DI software do not match - you will be prompted to verify and confirm the patient name match. For more information on why these new workflows have been introduced take a read of our Imaging bridge FAQ's over the help centre.  New workflow process 🚀The new workflow has a few more steps than before but ensures that any conflicts are dealt with as early on in the workflow as possible. The new workflow is as follows:Open the imaging bridge. Bridge detects any overlaps. You are prompted to verify the patients images. Create new folder for any overlaps. Continue to process imagesFor a detailed step by step overview take a look at our handy help guide here. Its important to note that to benefit from these updates to the imaging bridge you must be on the latest version. Please speak with the support team for further assistance.  Best practice tips ✨To minimise patient safety issues here are a few best practice tips to keep in mind going forward when using the imaging bridge:Double check your images. Take two seconds before acquiring an image and re-radiating a patient to confirm the images that have been opened via the bridge are in fact the current patients. Familiarise yourself with the patient conflict workflow. The workflow outlined above can be viewed in details with full video instructions over on our help centre here. We recommend bookmarking this guide for easy access should you need it. *insert link Be comfortable with troubleshooting any issues. Try as we might to offer work around solutions, when running a busy practice we understand that some patients can still slip through the net. When this happens and images do end up assigned to the wrong patients its important to resolve this issue as soon as possible! Root charting is coming 🦷🚀

We are excited to unveil root charting*, designed to enhance your practice’s charting efficiency and accuracy. Here’s how you can get started and make the most of this powerful tool. *This will slowly be released across all sites with tooth status over the coming week. Benefits of root chartingComprehensive patient records: Keep detailed records of all treatments, ensuring no information is missed ever again! Enhanced visibility: Avoid the risk of root treatments being invisible, ensuring complete transparency even with the roots minimised from view. Flexible and customisable: Tailor your chart view to your needs. Using the ‘Chart settings’ you can switch between views easily for a flexible charting experience. Improved clinical efficiency: Quickly access detailed tooth histories and current statuses by hovering over a specific tooth/root. Using the Root ChartHow to turn on the new Root ViewNavigate to a patient’s chart. Click the ⚙️ ‘Chart Settings’ icon. Scroll down and toggle on ‘Root view’. You MUST be using the condensed chart view to see this option. Once you exit this menu you will see the roots are now showing on the graphical chart.Read our detailed guide for further info on turning on the new root view. Customising treatment itemsFor items to be chartable on the root they must be set up accordingly. Follow our easy-to-use step by step guide here to set up your items for roots. Customise your chart viewYou can use the ⚙️ ’Chart settings’ to adjust the visibility settings to switch between detailed and condensed views, depending on your preferences. This accessible button makes it quick and easy to switch your view even during surgery for the optimal charting experience. We cannot wait for you to give the new root charting in Dentally a go. Your latest chart updates 🦷🚀

We’re excited to announce some updates to the Dentally chart and introduce the new socket selection feature for users with Tooth status and our Root Charting early adoption users. These chart updates will be coming next week, so get ready to enhance your entire charting experience 🚀 The Dentally odontogram chart has had an update!We have made some strides in enhancing the logic behind your chart screen to enhance your user experience. Based on valuable feedback from you, our users, we've made significant changes to how missing teeth are displayed. The odontogram view will now* only show teeth where a tooth is present, meaning icons for missing teeth no longer appear on both the base and treatment planning lines. It’s important to note that you can still chart whole tooth treatments, such as implants, bridges, or dentures, over gaps where no tooth is present. This change aims to reduce confusion and prevent treatments from being accidentally added to the wrong teeth, ensuring a smoother and more accurate charting experience. Read more about the updated odontogram view over on the Help Centre here. 🚨 Important: *This feature is currently (as of July 2024) in the early adoption phase and is only available to sites using the Tooth Status backfill. Introducing Socket Selection for Root users 🦷Socket selection is here for root users! Simplify your base charting process with the new socket selection drop down list, This is particularly useful when initially base charting a patient’s permanent dentition or updating their status on subsequent visits. How to Use Socket Selection:Navigate to the desired patient’s chart and ensure Root View is enabled. Hover over a root to see it become selectable, with a shaded area indicating the socket. Right-click on this area to access a drop-down list of available tooth statuses. Welcome to the July 2024 Product Update! Find out about the latest features and improvements we’ve brought to Dentally this month 🌟 Key for your reference:🆕 New | 🌟 Improved | 🐛 Bug Fix | 👨‍💻 Beta Dentally Portal 📲 🆕 New: Dentally Portal DevicesWe have launched our newest feature, Concierge 🎉 With Concierge set up, you can enable patients to complete all outstanding actions on a tablet device in the practice. Plus Concierge is supported by both Apple and Android devices! This will create a smoother, more effortless journey for patients, while reducing the administrative burden on your reception team. Find out more about using Concierge here.  🆕 New: Dentally Portal Devices permissionsWe've added permission settings for our new Devices section. This allows you to set which security level can pair with or unlock the tablet app. To set your permissions, head to the new 'Devices' section in the Portal admin dashboard and choose 'Settings'.  Dentally Vision 🦷 🌟 Improved: Enhancement filter alignmentImprovements have been made to the enhancement filter by removing borders to ensure alignment. 🌟 Improved: Custom templatesWe have made improvements to custom templates to add new functionality to matching sizes and aligning placeholders. 🌟 Improved: Acquisition agent The acquisition agent has been updated for Windows to support multiple users. This resolves the issue where the agent couldn’t start for a new user if the original user hadn't signed out. The acquisition agent now has the device list alphabetised so they are in order during the acquisition setup. Device whitelist for Windows. This will allow the practice to limit what devices are shown to users. 🌟 Improved: Image recovery filtersImage recovery has been improved to allow users to filter recoverable images by category and patient, in addition to the existing timeframe filters. 🌟 Improved: Image detailsWhen clicking the pen 📝 icon to view image details, users can now see the imaging device name or sensor that the image originated from. If the specific model of the sensor is known (e.g. Schick 33 versus Schick CDR 2000), it will be displayed. If the image was imported, the source will be listed as ‘Imported image’. 🌟 Improved: Template exam viewThe template exam view header has been updated to display the number of images in the selected image stack. 🌟 Improved: Gallery filteringThe gallery component has been enhanced with additional filtering options. Users can now filter images by specified external provider ID and by specified tooth numbers. 🌟 Improved: Device optionsA number of devices have been added/updated: Carestream CS7600 scanner Sopix Gen 2 Added acquisition support for acquiring 3D volumes from Gendex CBCT machines via a software bridge to VixWin Kavo devices now include support for extraoral x-ray acquisition Added sharpness settings for Sirona IOSS New filtering options for Sirona/Schick USB 3 Updated device names for Schick integrations 🐛 Bug Fix: Users are now able to sync 3D volumes from offline mode without the 'Out of memory' exception error. 🐛 Bug Fix: Access rights to delete rejected images for recaptures have now been fixed. 🐛 Bug Fix: We have changed the exam view to add the ‘Undelete images’ button to the 'More’ button. 🐛 Bug Fix: Reassigning an exam was loading to the exam that was reassigned. This has now been fixed and reassigning an exam will load the topmost exam in the reassigned patient's exam list.  All regions 🌎 🌟 Improved: Automated communication logicWe’ve improved the way automated communications are sent for last-minute appointments. Previously, if you had automated messages set for 2 weeks before and 1 week before an appointment, and then a patient booked a last-minute appointment for the next day, they would receive the 1-week and 2-week automated messages anyway, as the system played ‘catch-up’ all in one go. This will no longer happen – now patients won’t receive automated messages if the trigger date has already passed. 🌟 Improved: Automation screen designWe've made it easier to create and save an automated communication rule. You can no longer save the automation rule without first saving or cancelling your condition. 🐛 Bug Fix: We now ensure that when you uncheck a selected attribute in the automation condition, the attribute is removed from the rule. 🐛 Bug Fix: Editing a practitioner's scheduled break on two different days via the calendar override feature was resulting in the first change being lost. This has now been resolved. 🐛 Bug Fix: We have fixed an auto-scrolling issue when expanding treatment plan items. 🐛 Bug Fix: We have updated the Perio exam scrolling buttons to now move through older/newer exams correctly. 🐛 Bug Fix: Users encountered an issue when selecting an option in ‘Custom fields’ on a treatment plan, whereby it did not save the first time it was added. This has now been resolved.  UK-specific 🇬🇧 🌟 Improved: HCS (NI) Fee Uplift (MDS 759)The HCS (NI) Fee Uplift (MDS 759) has been implemented in Dentally, along with the corresponding Prior Approval limit increase.  CA-specific 🇨🇦 🆕 New: Dentally Portal launch in CanadaWe've launched Dentally Portal in Canada with support for: Completing medical history forms digitally. This means fewer paper forms at reception. Our Task Reminders service. Practices can now benefit from our smart automation, which only sends messages to patients as and when a medical history form is required. 🆕 New: Sending attachmentsAttachments can now be submitted electronically to CDAnet to provide additional materials along with a claim. Note that this is a preview of the functionality, that we have made generally available in order to capture feedback on how it works. After submitting a claim, you are now able to send multiple attachments, selected from the patient's ‘Correspondence’ section, in a single attachment submission. 🆕 New: Estimated insurance coverageWhen charting treatments, the patient's estimated insurance coverage is now calculated and shown on the treatment plan to help you and the patient understand how much they may have to pay for a course of treatment. If you then submit a predetermination, the estimates are updated if an explanation of benefits is received. This increase in confidence in the estimation is shown by updating the amber indicator to green. 🆕 New: Claims Manager toolWe've introduced a new Claims Manager tool, accessible from the left-hand menu anywhere in Dentally. From here you can view and manage claims, including new reconciliation workflows to manage incoming payments from insurance carriers.  🆕 New: Canadian insurance treatment code smart swapBecause the list of treatment codes in Canada is extensive, and it is important for insurance cover claims to use the correct code, we have added logic when charting tooth-specific treatments in order to help the user choose the correct treatment code, based on how a treatment is charted. For example, where a treatment limited to permanent teeth is charted on a primary tooth, the code will be swapped to the equivalent code for a primary tooth. The swapping mechanism also looks for the number of surfaces and position of the teeth as well as tooth type. This swap is visible against the charted treatment and a notification is given when it occurs. 🌟 Improved: Managing certificatesWe've made it possible for providers to manage their own certificates from the ‘My Account’ page, without needing to be a Level 4 user. In addition, access to the ‘Insurance’ settings page can be granted to users of Level 1 or 2 with a new permission option accessible from the ‘Edit User’ page. 🌟 Improved: Lab estimatesLabs are now included on estimates, and will come across when you clone a treatment plan, making it easier to communicate their costs to customers or plan different options for treatment. 🌟 Improved: Insurance policy managementManaging insurance policy dependents and plan holders has been completely overhauled, making it simple to add family members to a policy or change out the policy holder for another patient. 🌟 Improved: Adding new policiesAdding a new insurance policy will now copy defaults from the ‘Plan’ or ‘Carrier’ settings, making it easier to add policies and not have to select ‘Assignment’ or ‘Electronic Submission’ settings. 🌟 Improved: PDF claim formIf there are any issues communicating with CDAnet, for example due to scheduled or unexpected outages, you will now be able to continue with a PDF claim form, ensuring that you can still process claims.

Welcome to the June 2024 Product Update!Find out about the latest features and improvements we’ve brought to Dentally this month! 🌟 Key for your reference:🌟 Improved, 🐛 Bug Fix, 🆕 New, 👨‍💻 Beta  All regions 🌎 🆕 New: Break management featureThe 'Update practitioner availability' calendar override feature now includes the ability to add, amend and delete breaks, meaning you can make one-off changes to new and existing breaks, even if they’re in a schedule! This will help to ensure your team’s availability is accurate, improving your practitioner availability reporting.   🆕 New: Number of images in patient chartThe ‘Images’ tab in the patient chart now displays the number of images stored for the patient. This makes it easier to keep track of the patient’s image history at a glance, without needing to open the tab and check.  🆕 New: Filter mode in ‘Payment Allocations’ report for multi-site usersWe've added a new filter mode to the ‘Payment Allocations’ report, allowing multi-site users to filter allocations either based on where the payment originated, or where the work was completed. This change also adds a second table to the ‘Payment Allocation Totals’ report to highlight allocations for practitioners at the current site that originated from other sites. Both features will make it easier to understand allocations where payments originated from one site but used to pay for treatment at another. This feature is being rolled out gradually, so if you don't see it now, it will be coming soon. 🌟 Improved: Treatment list order sorting in ‘Chart’ screenWe recently introduced the ability to select the order of your treatment list while treatment planning or base charting. You can now sort by either ‘code’ or ‘treatment’ nomenclature. It will now display how this list is currently ordered with a tick, to help your selection. 🌟 Improved: Tooth icon alignment in Perio examThere was a discrepancy with the way some of the teeth lined up against the ‘zero’ line on the Perio chart, which was exacerbated when you had implants in place, because they were lined up perfectly. This has now been improved to resolve the issue.  🌟 Improved: New patient ‘Details’ screenWe have updated the patient ‘Details' page to include the patient's emergency contact details, the ability to expand and collapse the family members section for large families, and the repositioning of certain fields to help improve the page layout. Read our guide on using and understanding the patient ‘Details’ here.  🌟 Improved: Switching to Base Chart mode Switching to the Base Chart mode in the patient’s chart screen now automatically filters the treatment list to show base chartable treatments. Previously, users would have seen ones which weren’t suitable for the base chart, and had to scroll to find the ones they needed. 🌟 Improved: Easier search functionality in the ‘Patients’ reportIt is now easier to search in the ‘Patients’ report, if you have a lot of saved segments. Now instead of scrolling, if your report has over 15 saved segments, you can type in the name, making for a smoother workflow and giving you more time to focus on other tasks. Read our guide on using the ‘Patients’ report here. 🐛 Bug Fix: We've fixed an issue where printing the ‘Payments’ report sometimes included empty rows for payment methods that users didn’t have at their site. 🐛 Bug Fix: We fixed an issue where the 'Closed days' toggle in the calendar was not updating the calendar view straightaway.  UK-specific 🇬🇧 🌟Improved: Improved Treatment Plan workflowWhen a completed Treatment Plan is re-opened and new Treatment Plan items are added, the completion date of the plan will be updated to reflect the last completed treatment. 🌟 Improved: Under 18/26 exemptionsIn England, Wales and Scotland, under 18/26 exemptions will now be recalculated if you change the patient's date of birth. New exemptions will be automatically created if they are applicable, and existing ones will show their expiration date correctly. 🐛 Bug Fix: We've fixed an issue where filtering the 'UDA Forecast’ report by ‘Status’ sometimes included additional plans with a different status.  AU-specific 🇦🇺 🌟 Improved: Medicare codes now available in Vision Procedure listPreviously it wasn’t possible to use the ‘Acquire first’ workflow when using Medicare codes with Dentally Vision. These codes have now been added to your procedure lists so you can ‘Acquire first’. Read more about Medicare codes with our handy guide here. 🐛 Bug Fix: We've fixed an issue where payments taken within an hour of UTC midnight on the last day of the month may have appeared on allocation reports for both months. This has been corrected so they will only appear once, on the correct month.  Dentally Portal 📲 🆕 New: Capture emergency contact informationWe’re in the process of adding emergency contact information capture to Dentally Portal! This update will integrate seamlessly into the New Patient booking process and Patient Portal, making it easier for patients to input or update their emergency contact details. Save time and reduce admin workload with this new feature. Look out for it in the New Patient booking process, Patient Portal, and task reminders service. Can’t see it yet?
