Hello, When receiving webhook events for ‘appointment.created’, it often provides fake/default values. For example: finish time is null, when in reality, this can never be the case. Also duration is 0 and start time is also null. Other information such as patient information and reason are filled in.Is this a known issue? Do i need to fetch the just created appointment again by id (id is provided in the body). I did not previously do this due to not wanting to hit the API rate limit. Thank you!

Hi there, I’m trying to create a patient in Dentally from a Zap. The zap will pull patient data from a form on our website and then create that patient in Dentally. The first part is working correctly pulling the form data via a webhook, however the patient creation step isn’t working. I’m using the Dentally 1.3.0 version in Zapier.I’ve tried multiple variants for submitting patient data, including copying data straight out of Dentally (so that the target field matches), but whenever I test it, it returns:“Failed to create a patient in Dentally (1.3.0)The app returned "The patient could not be processed".”I wanted to check:is the Dentally Zapier app still supported? Any ideas on general issues with creating patients? Am I better using the API?Thanks for any thoughts,Tom 

Can a param filter please be added to the Rota Practitioner Diary that filters out rows in which a practitioner is no available? It makes sense that in endpoint we the only are looking at dates in which our practitioners are available, and we can make the assumption the practitoner is not available a certain as there is no data for it.

Hello, when it comes to any change to the API, can there be communcation on either the community site or  the developer site of any change to API? as a recent example, there was some underlying changes made to the Appointments API on Monday (3rd November), which caused our ETL to timeout repeatedly.

When sending an API request for practitioner appointment availability, I get the error below.{"error": {"type": "invalid_request_error","message": "The appointment could not be processed","params": {"practitioner_ids": ["seem to be missing"]}}} HTTP request:GET https://api.dentally.co/v1/appointments/availability?practitioner_ids%5B%5D=43372&duration=5&start_time=2025-11-07T12:00:11+00:00&finish_time=2025-12-06T12:00:11+00:00 All parameters as per API docs, Authorisation, Application type and user-agent valid. I have used the cURL from the API docs and changed the ID and dates for sanity checks but still get the same error.Practitioner ID valid and active. Please refer screenshot and advise.

Hi all, When trying to update an existing waitlist entry object via the API by assigning an appointment id to the object, it never assigns the appointment id to the waitlist entry. It always returns the waitlist entry object with null as appointment id. Is this a known issue or is there a way to update a waitlist entry to say that it has a booked appointment? Cheers,  

Hi all, When trying to update the status & patient_id of an appointment via the Dentally API we get the following message.{ "error": { "type": "invalid_request_error", "message": "The appointment could not be processed", "params": { "state": [ "The appointment can not be updated as the current status is: Confirmed" ], "patient_id": [ "can not change patients" ] } } }However when getting that appointment we are trying to update the state is still "state": "Pending"Updating only the state works, but not updating the patient_id.Would there be a workaround for this? Or what is the specific reason we cannot update the patient_id via the API?

We have just started with Dentally and chose is specifically for the Xero integration.As a dental prosthetic clinic we have only a few items that include GST. When going over to Xero it seems to default as GST Exclusive, even for a day where no items with GST were charged. I can manually alter this in Xero but that seems clunky and not a true “integration”.A bigger problem I am having is a day where we did three transactions, two which were GST free and one that included GST but in Xero GST has been charged on the total which is not correct, and the only way I can see to fix it is to redo the invoice with the days transactions individually, but again this seems like a lot of manual work when it should just do it correctly in the first place. Has anyone had similar issues with the Xero integration?  How did you fix it or manage this?Thanks

Hi all,When an appointment in Dentally gets deleted, we get notified using the appointments.deleted webhook, and we can handle accordingly.In the situation that such an event gets lost or not processed in time. Is there a way, using the api, to list deleted appointments?Using the audit tab in Dentally, we have a view on this. But i  was wondering how we can get this info via the api?

I have seen that it is possible for treatment plan items and treatment plan appointments to be deleted. There is no webhook for this right or is there anyway to be informed that these are deleted via integration? Is it possible to request a webhook for this?

I’ve noticed that it is possible to delete paid invoices from Dentally. On the API there is no webhook for invoices so I wanted to ask if there are any plans for an invoices webhook so I can be notified if an invoice is deleted or any other sort of workaround to handle this case?

Hi all,Using the dentally sandbox application we have the option to add ‘custom_fields’ to a patient entity. These fields can then be updated from the patient view. But I can’t find the way to create the ‘custom_fields’ via the public API.Similarly when trying to update a patient, passing along the ‘custom_fields’ property does not update the values set.I’m trying to have a Dentally user set some custom value’s on the patient entity that can be accessed by a 3rd party application. Using the API we use the ‘metadata’ property but the Dentally user has not access to that. And vice versa the API has no access to set  the ‘custom_fields’ but the Dentally user can.Is there a possible workaround for this?

HI DentallyWe are using the new accounts tab and I needed to refund 3 stripe deposits.  On the old accounts view, the Stripe link was hyperlinked, so when you hit, took you to the actual stripe tranasction, to refund or amend. on the new accounts view there is no stripe hyperlink that I can find.  Can you help?  Am I missing it, or is it not there.  it was very useful. Without it, I need to log into stripe, and scroll through transactions to find it, and with 5 clinics, it can be time comsuming.  Today I just went back to old accounts view, used link and done in 3 clinics. RegardsEamonn

Hi We are getting great uptake on Dentally online portal, where patients can cancel and book new appointments which is easier for patients, who work same hours and forget to reschceule, so can now do it themselves online.  we have set to allow them to cancel before 48 hours, withing that, they are prompted to call clinic. however, we now have many patients, where they have canceleld, and auto expect their deposit refudned, but the system is not able to do it. resulting in pts calling or emailing clinic, thinking we have REFUSED to refund them. ITs a quick step on stripe link to process this refund, but sometimes, patients will cancel apts weeks out, and we dont see it, and then they call demaning refund.  is it possible to allow auto refund via stripe, or add a note to refund auto txt  / email on dentally, ‘your appointment is now canceleld bla bla bla, if you have a deposit paid you will need to contact the clinic directly to arrange refund, or similar.  RegardsE

Hi Dentally team and community,Following a recent support exchange, I’d like to propose a feature enhancement that could significantly improve data quality and audit processes for users integrating Dentally data into external systems like data warehouses.Context:Currently, TPIs (Treatment Plan Items) assigned via the “Base Chart” tab are not linked to a treatment plan and therefore have a NULL TP ID in both the API and exported data. While this is expected behaviour—as base charting is intended for documenting baseline dental status—it creates a challenge for downstream systems. Specifically, it becomes difficult to distinguish between:TPIs genuinely missing a TP ID due to ingestion or data quality issues, and TPIs that are correctly linked because they were assigned to a base chart.Feature Request:Could Dentally consider adding an explicit flag or indicator in the API response to identify TPIs that were created via the base chart? This morning I had some great feedback from a patient that it would be faster and more convenient to be able to book online with Apple pay (when paying a deposit - which we have found has helped immensely with managing cancellation/DNA rates). I can see the value in this as some people when booking online on their mobile (the majority of people, I assume from general desktop vs mobile device activity) are on the go, and being able to leave their payment details quickly with Apple pay would be really useful. Potentially even secure some extra patients if we can make it more convenient and quick for them to book...

Hi all, In the API I can retrieve current opening hours per practice through the sites endpoint. Is there also a way to retrieve historical data for the opening times? Or even just the mutations of the opening hours?

Hi,I would like to know if there is a way to use an external SMS system and log such correspondences against a patient’s record in Dentally through portal  or API. Currently, when I try to add a new SMS correspondence from portal, it automatically sends the SMS through Dentally. Is there an option to manually log an SMS without triggering one from Dentally’s system? We are exploring options for integrating an in-house SMS system and would like to ensure proper record-keeping within Dentally.Any insights or workarounds would be greatly appreciated!Thanks!

Hi, i've been trying to import my invoice items for all of 2024 using the API, but so far it's a quite slow process. The API doesn't seem to allow me to import chunks of data (an updated_before parameter would be sufficient), so i've resorted to taking all invoice id's from the invoice table and calling the invoice items per invoice.The problem with this is that this costs me one API call per invoice. For all of 2024 that's going to take forever.Is there a better way to get the invoice item data?For context, what i'm trying to achieve is to link treatment id's to the payment allocations table. So far my route has been to link payment allocations through the invoice item id to a treatment plan item, which has a treatment id linked to it. If there's a smarter way of approaching this i'd be happy to hear about it.
