Hello,

 

Is there a way to synchronize patients that are on the Short Notice List? I have checked the API documentation but could not find anything about it.

At the moment that’s something that’s handled entirely in-app. That said, our PM ​@Hansa Rastogi  is currently collecting feedback and data around the Short Notice Filler and how practices are using it, so this is definitely useful context. It might be worth chatting directly about what you’re trying to achieve and whether an API or export would help.

Our API team is also actively working on improving and expanding our API more generally, and use cases like this are really helpful input. I’ll make sure this is shared with them. 😊

Thank you for the speedy reply. In our platform, we want to show the practice which patients are on the Short Notice List to do certain actions. So would be useful to have a list of patients with reason, duration or/and date and practitioner. An export would be great to begin with. Is this something that already exists in the Dentally platform?

 

In the future, an API endpoint would be more ideal to keep in sync with new patients on the Short Notice List instead of having to do an import each certain amount of time.

At the moment, Dentally doesn’t offer a dedicated patient-level “Short Notice List” showing everyone available for short notice with various details.

I believe the closest existing option today is the Appointments report. From there you can:
    •    Go to Reports → Appointments
    •    Use the Short Notice–related filters/columns to identify appointments that were filled via short notice
    •    Export the report to CSV (up to 31 days at a time)

Just keep in mind that this only reports on appointments that have already been booked via short notice, not a live or historical list of patients who are currently available but haven’t yet been booked.

I’ll pass your feedback for a patient-level list with metadata and an export to the product team, including the potential API endpoint (our team is working hard on new capabilities for our API!) 😊

I tried this out, I did a filter on ‘Added to short notice’ and saw 7 items. But when I export the data, I still see all the appointments for that month.

 

Then I thought, maybe there is a column in the Excel to check if the patient is on the short notice, but there isn’t any. Is this a known issue or am i missing something?

 

Thank you for you useful replies! “Just keep in mind that this only reports on appointments that have already been booked via short notice” is perfect with what we need and will work for us at the moment.

thanks for testing this and for the detailed follow-up.

It’s true that at the moment he Short Notice filter in the Appointments report only affects what you see on screen, and unfortunately it isn’t applied to the CSV export, nor is there a dedicated “short notice” column in the exported file.

So while the report can be useful for reviewing short-notice bookings in Dentally, I believe it doesn’t currently support exporting just those appointments in a reliable way.

I’ll share this back with the team as it’s an important limitation, especially if practices or partners want to act on this data outside Dentally. Thanks as well for confirming the broader approach still fits your needs for now. 😊

I more meant that if it was possible via reports and if exported correctly, we would be able to continue since we could write an importer for the exported file instead of using an API. But that’s not the case for now since it’s not supported.

 

Would it be easy to add an option to only export the items displayed on the screen in reports for appointments? So that you can export filtered items? If so, we could continue that way for now. Otherwise we can not do much for now I’m afraid.

Short answer, no. There isn’t a way to export just the filtered items on screen. Exports always pull the full dataset for the date range. I can’t comment on how easy it would be to change (it’s usually not as straightforward as ‘just add a filter to the table’” 😅) but I’ve flagged the filtered export point specifically since I can see how that would unblock you.

 

For now though, there isn’t a way to make this work via reports or API I’m afraid. I’ll make sure to mention it to our API team as well.
