Mass Correspondence Export Feature

It would be a great time-saving feature if there was an option to do a mass export in the correspondence section, just like we can export the clinical notes history at the click of a button.

The reason I am requesting this is that I am in the middle of copying & pasting every SMS sent, every email sent and every call log for a solicitor acting on behalf of a patient who has requested their entire data file from us. I think this feature should only be available through Administrator access level.

Interesting and valid suggestion.  For such requests we have historically only sent clinical notes and xrays.  Guess it depends on what is asked for but I agree this is would be an exceptionally useful feature to have a “one button” to export all to PDF like clinical notes.

Hi @Dentally Community Moderator

We spend so much time on GDPR requests downloading correspondence individually. Correspondence is essential for most GDPR requests, especially complaints, regulatory investigations or litigation - items such as recall notices (proving relationship), external referral correspondence, laboratory documents etc. are all essential.

I’d be amazed (and horrified) if your clients weren’t routinely having to download correspondence for GDPR requests.

I’m also amazed that in a sector such as dentistry, and with the prevalence of both litigation and GDPR SARs, you don’t have an angry mob of customers breaking down your door for this feature. It would be easy to engineer (even better if you could add it to API) and would save significant amounts of administrative time.

Thank you @aferguson024, I have added your feedback to the feature request for the product team to review, please be assured it is on their radar and thank you for providing another use-case for how it would benefit you - the more context the better!

Hello! Can I clarify the ask - you would want to simply export to PDF all the correspondence in a particular patient’s “Correspondence” tab?

Yes - basically an option to export all correspondence records (or perhaps filtered, e.g. by date or type) into a single PDF for backup and/or responding to Data Subject Access Requests.

Hi

Please, if and when you do implement such a feature, can you ensure that you introduce the ability to download as PDF from a certain date.   If a patient has 15 years of history but asks for a Subject Access Request (SAR) for the last 5 years, the last thing I want is to generate a 200 page PDF report from 20 years ago, potentially opening us up for questions for a period that has not been requested.

Please extend this feature also to clinical notes request (which is not correspondance) because at the moment when I generate an export of from Chart / History / Export as PDF, it dumps everything from day 1 and if the patient hasnt asked for a date before x years, I dont want to unnecessarily send more than I have to.

Added to the above issue is MS Word documents which are in correspondance, they cannot be viewed, so need to ensure that both images from charts, word documents and all such files types are included in a data bundle download.

Thanks.
