Default room per practitioner

Currently if we forget to set a room when booking an appointment, the appointment won’t show anywhere in the room diary view.

It would be good if we could set a default room per practitioner, and/or via a schedule ...and when editing the availability per day in the diary. This would preselect the room for all appointments being booked for the practitioner that day.

Another (easier but less useful) option/addition would be to make room a required field when booking appointments.

Hi @DavidB2 - I’ve fed this back to the product team and they’re interested to know more.

You mentioned that when this happens, the appointment then doesn’t show in room view - can you explain exactly what problems this causes for your team or your patients when it occurs? And how would a solution benefit you?

Thank you!

In the practices I work, each practitioner will typically work in a single room each day, and only swap for accessibility purposes.

For us, the main benefit of room view seems to be the offer an uncluttered diary - except it doesn’t reliably show all appointments (when the room is not set), and so we don’t use it all.

Instead we use Practitioner view and put up with a crowded diary - space wasted by the empty columns of practitioners not working that day. This makes it much harder to see and use the diary, less space/visibility for appointment details/notes, especially on multiday view.

Another benefit of room view would be for nurses to be able to print a room daylist rather than a practitioner daylist - so the surgery can be prepared appropriately when there are room swaps - but again room view doesn’t reliably show all appointments so we have to use the practitioner daylist and manually check the daylist online and edit the printed daylist with a pen.

...I suppose an alternative to using the room view more effectively would be having a toggle to show only available practitioners on the practitioner view.

The benefits of a solution would be clarity of the diary for easier booking of appointments, easier planning of the flow of the day when booking appointments, easier to see and understand the day for practitioners, more effective communication via appointment notes. This would help patients get a better service via more efficient appointment booking, smoother flowing practice logistics, and better communication by fewer missed appointment notes.

Hi @DavidB2, thank you for going into so much detail to help the team understand the difficulties you’re facing. I’ve ensured that this additional context is included in the feature request and passed it onto the product team!
