I am finding dentally really difficult to use in terms of paying my associates at the end of the month. I simply cannot find a way/report option to be able to see where payments are placed when a patient pays a deposit towards large treatments and where finance payments can be seen. The way I want to pay my associates is as follows:
We calculate from the 1st of the month to the last day of the month (and then we pay a month behind which is standard for a dental practice). We do a lot of cosmetic dentistry which has high ticket value. A lot of our patients put large deposits down/take out finance/patients pay off their balance as and when they want via stripe on the dentally portal to reduce their balance for treatments such as ongoing clear aligner treatment. This money i’m assuming on dentally is ‘unallocated’ as it doesn’t know where to go/the treatment has not been completed yet/ticked through on the system so it doesnt have a specific invoice to place it against.
What I would ideally like, of which other software systems have allowed me to do in the past is:
Run a report for the total income/payments/finance which have been paid from patients to a specific practitioner within a date timeframe regardless of if the treatment has been completed yet. This money has been paid to the practice so I would rather pay it to the practitioner when the practice has recieved the money to make it easier to link up lab bills for invisalign etc.
e.g- patient pays £2000 towards invisalign on one date, and then they use stripe to pay another £500 off the next week, they then walk into the practice a few days later and place some more money down on their account (the total cost/invoice has still not been paid). How do I collate all of these payments into one report so that the practitioner gets paid all of that money at the end of the month? Is there a report that can be run for all ‘unallocated’ payments that were taken to the practice within a timeframe so I could even work through them and designate them to a practitioner?
This is causing me a severe admin nightmare every month and honestly I am considering leaving dentally over it. I really want to make sure my associates are getting paid for what they are due and are not missing out on income. Thanks!
