is there a way to set up automatic emails to patients (both private and NHS) a day or so before their appointment to update their medical history without having to send them all separately or have them fill in the form when they arrive on the tablet which takes at least a good few minutes

Hi @sdc, yes there is indeed a way to achieve this!

If your practice has access to Portal, you can send task reminders automatically. This sends an SMS the day before the appointment, to any patient whose medical history is due. They can complete the form at home on their device, reducing the admin burden on your team.

If you have access to Portal:

  1. Go to Patient Notifications → Notification types.
  2. Scroll to Task reminders → Settings.
  3. Toggle Task reminders on.

Once enabled, patients with an outstanding medical history task will get a secure SMS link to the Patient Portal the day before their appointment (reminders are prepared the day before they send, so the appointment will need to have been booked before that).

If you don’t have access to Portal, you can use automated appointment reminders, and you could include the medical history data tag [patient_medical_link] to automatically include a link to complete their medical history.

I hope this helps! You can always reach out via support chat too for any advice and guidance.

Hi,

A lot of our patients are elderly, not very tech-savvy and are struggling with this way of doing medical histories. It also means that patients who don’t have a mobile number don’t get an email link to complete their medical history. This means that our reception team are spending longer than ever asking patients to complete medical histories.

Can we either turn this off, or can we have a way of sending it automatically by email if there isn’t a mobile number available?

Hi @clairem - task reminders are specific to Portal, which is a phone-based platform, so does require a mobile number to work effectively.

However it may be possible to find a solution which works for you - I would recommend starting a chat with our support team so they can take a look at your current configuration and explore a possible solution that works for your practice
