Two clinicians on one treatment plan

Within the space of 5 minutes I’ve had 3 patients call to query their estimate for treatment. 

They have all seen both the dentist and the hygienist today and are returing for further treatment, and have all queried why the treatment plan they have been emailed doesn’t include the hygienist appointment. The only reason I can think of is because it’s on as a different clinician, even though it is on the same treatment plan. 

Understandably the patients are confused! Is there a way to make sure that all appointments on one trteatment plan actually appear on the estimate even if it’s different clinicians?

Thanks for flagging this, totally understand why patients are confused here. Let’s try a few things to address this:

  1. Re-generate the estimate. If the estimate was created before the hygiene items were charted, it won’t update itself, open the plan and hit Update estimate (or create a fresh one). This pulls in everything currently charted. 

  2. Same plan, different clinicians is OK. Estimates include all items on the plan by default, regardless of clinician; just make sure the hygienist work is charted on the same open plan (you can have multiple appointments inside one plan). 

  3. Hidden/£0 items. If any hygiene items are £0.00 and Show on invoice is unticked, they won’t appear. Tick it, save, then update the estimate. 

If that still doesn’t pull the hygiene appointment through, I’ll ask our Support team to check your template/rules. Let me know if this helps! 😊

I don’t seem to have an option to update estimate?

The Update estimate option only appears once an estimate’s already been generated and the treatment plan is still open. Try opening the plan itself (not just the list view), you should then see either Estimate or Update estimate at the top. You can find more details in this article.

If the plan has been completed, is linked to an NHS claim, or if your user permissions don’t allow editing, that button won’t show. Could you check those and let me know what you see? I can loop in Support if it’s still missing 😊

Treatment plan is open, not NHS and I have Level 4 settings as a Practice Manager, however when creating an estimate I only have the options for “Back to treatment plan” or “Create”.

Also, on a different issue - when I first open Dentally Comminity and then go back to Dentally it logs me out which is frustrating as I may have notes half completed whcih I then lose

Let me clarify a few things to try and get this sorted:

 

Estimates show charted items, not appointments.

If today’s hygiene work is only an appointment in the diary (e.g. “Hygiene 30 mins”) but the hygiene treatment items haven’t been charted on the same open plan, they won’t appear on the estimate. Add the hygienist’s items to the same treatment plan and they’ll be included automatically. Dentally includes all charted items on the estimate by default. 

 

“Update estimate” only appears after you’ve created one.

What you’re seeing (“Back to treatment plan” and “Create”) is the create screen and that’s expected. Click Create to save the estimate first. When you reopen it from the chart, you’ll then see Update estimate to pull through any changes you’ve made to the plan. (If you navigate away before editing, just generate a new one.) 

 

Hidden/£0 items check 

Open each hygiene item on the plan → if it’s £0.00 and “Show on invoice” is unticked, it will be hidden from the estimate. Tick Show on invoice, save, then use Update estimate

If you’ve charted the hygiene items on the same plan, they’re not £0/hidden, and you’ve created (then updated) the estimate but it still omits them, I’ll loop in our Support to look at your template. 😊

Hi,

Please look at patient ID 10030 - the hygienist treatment is on the plan and was when the estimate was created on the day of the first appointments, which were both on the same day. The hygiene treatment was chargeable and is marked as show on invoice, so I’m at a loss
