The best way to customise your email signatures would be to create custom email templates that include your signature. Here’s how:
1. Go to Settings, then click on Templates.
2. Select the Emails tab and click on ‘New Template’ or edit an existing one.
3. In the template body, add your signature text. If you have an HTML/CSS version of your email signature (like one designed by a designer or generated by a tool), you can paste that code directly into the HTML part of the editor. Dentally’s email editor supports CSS, so you can use it to style your signature as needed.
4. Adding Images: To include an image in your email template (like your practice logo), you’ll need to use HTML code. Unfortunately, there isn’t a built-in feature for directly inserting images. You may need help from someone who can write HTML code to set up how the images display and their position within the email.
5. If your signature is simpler and doesn’t need images, you can use the formatting options in the editor.
6. Save the template, and your signature will be included whenever you use it for patient communications.
We know this isn’t the most streamlined approach, so I’ll be passing your feedback along to our Product team. Specifically, I’ll suggest adding an option for a single email signature that applies to all outgoing emails, including system-generated ones, as well as making it easier to insert images without HTML.
Regarding the Microsoft 365 integration, currently, there’s no direct integration with Office 365 for email handling, so email management must be done within Dentally itself. However, I also share your interest in this integration with the team as something to consider in the future.

We will do what we can, but we use a system on our Office 365 email accounts that automatically rotates our banners and offers, it would be great for consistency to have it all via one platform, rather than having to do it manually in Dentally. A little bit like the Microsoft SSO you have provided for login, this would be a great addition.

We moved from SOE to Dentally. As part of selling Dentally, they told us we have similar custom email domains. Now that we have moved, I can see that it is actually nothing like SOE. Why dont you have a similar system with emails like SOE where Dentally can send emails via our own practice’s mail server and so we can receive replies in our mailbox? This is a really important feature. It makes absolutely no sense to check 2 mailboxes.

Thanks for raising this! Dentally’s email system does work a bit differently from SOE, and I’m sorry if that wasn’t fully clear during your transition.
With Dentally, the custom email domain feature makes emails look like they’re coming from your practice’s domain (e.g., reception@yourdentist.com), which is great for branding. However, Dentally doesn’t directly integrate with your mail server, so replies and Dentally communications stay within Dentally, while your general emails remain in your main mailbox.
We usually recommend using the Dentally mailbox for patient-related communications whenever possible. Here’s why:
• It’s directly linked to the patient record, so you always have a full history of interactions in one place.
• Everyone with access to Dentally can see the communication history, no matter where they are. This is super helpful for team collaboration.
• It ensures secure and reliable delivery, while keeping patient communications separate from general inbox clutter.
I totally get that it might take some adjusting, but this setup is designed to prioritise security and reliable delivery. That said, I’ll absolutely pass your feedback on to our Product team. It’s really important to us to hear how we can improve Dentally for practices like yours.
