We have previously instructed the team to explain all transactions, including deposits, to ensure that incorrect deposits are not linked when a new invoice comes in. However, they are frequently forgetting to unlink and match the deposits to the correct invoices.

We have also been chatting and giving feedback to our Dentally partners over this in the last year - deposits are working really well for us, however the Dentally accounts page is not optimised at all to record and account for deposits.

Hi ​@Anne-Maree Siderides, It is very common for a patient to have more then one future appointment and with each appointment we always take a despoit. So let’s say as an example, a patient is booked in for an exam today and a hygiene in the future. That patient should have a £25 deposit for Exam and £25 deposit for Hygiene. If my team doesn’t explain them as ‘hygiene deposit’ or ‘exam deposit’ the hygiene deposit will automatically get swallowed up when the exam charge comes in. We have managed to find a system which works for now by explaining, unexplaining and then linking to the invoice but i am hoping for some improvements to this in the future. I hope that makes sense. 


HI ​@Emily Bendelow I hope you are well, the issue of allocating deposits is very much a manual exercise as Dentally will always automatically allocate to the oldest invoice. So lots of team intervention to ensure this is done correctly. The only advice I can give at this stage is to ensure your FDT are fully trained and any non compliances are reported back as normally the PM will correct the allocation and the team are unaware there has been an issue.
