A great feature request Sarah, I know this is something that @EamonnOMeachair has requested recently as well.
Hi Sarah, David
Yes a report would be great. Sarah what we have done in the interm, is to put a Block (empty apt) for full day of leave, and if there is an apt somewhere on the day, the large block apt, then only fills have the width. Its the only way we have a visual warning for an apt in a book that is closed.
We are so far booked out, that when days close / change, a report would be great. I looked for an option also , where if there was an apt in a day that was scheduled as closed, the name of the assoc on top, would highlight RED or other, to alert there is a conflict. Can you think of any other options Sarah other than report that may help.
We have been caught out on this already a few times, with single apts missed, on closed days, only to be seen the week ahead, and then having to chase patient at short notice.

Dentally, please prioritise the things we are asking for, they make a huge difference to our practices even if you think they may only affect a few practices.
Hello! Thanks for your suggestions, we do really value your feedback and it informs all the decisions we make about what to build next.
For the report you’re mentioning above, could you try looking up the dates the clinicians are on leave in the Appointments report, and see if any appointments are booked then for them? You can filter by date of the appointment and practitioner on this report.
Thank you all. @EamonnOMeachair I think highlight red showing a conflict would be a brilliant idea and quick to notice.
@Hansa Rastogi Yes, we could run a report for when the dentist is off. But when you have 10 clinicians all working different days and will different days off that is not practice at all.
Being able to run a report of appointments booked on unavailable days would be much easier for everyone.
@Sarah Salisbury , yes agree with Sarah
Reception teams, do not have the time to run reports for apt books / dates. Its a very visual approach we need. Something that sticks out RED or other to say there is a CONFLICT here.
It could be used to show conflict for a number of reasons.
- Apt in a day that is closed.
- Over run of apt into a closed period (before clinic hours, over run into lunch, after clinic hours etc..)
- apt in book, with no link to patient chart.
We have been working with our book management over the last while, and are getting much more patients to prebook on exit, so we often have appointments in the book for up to 6months. So when an assoc closed a date, we alert the team and they start rescheduling, but there will always be one or two apts, that you cannot reach and stay in the book, until resolved, then these get missed and if the apt is in the pm slot, and we have our book set to 5 min intervals, you dont see the full day, and unless you scroll down, you miss it.
Our temp solution is still to put in an empty apt for 480 mins, which when there is another apt somewhere in the day, narrows to half width, and this is our ALERT to let us know there is a confllict apt in this column. When there is no apt / conflict, then the empty apt, is full column witdt.
Reports are not utilised by the Rec team, and we really dont have the time to run a report each day to check that X days in future is still clear. etc. . . its a visual warning / tool that we need.
Another option, would be a WARNING triangle icon, that appears beside clinician name at top of colum, to alert an apt in a closed day. .
Regards
E
Thanks for the feedback! This makes a lot of sense and I see what you mean, ideally receptionists would also find out in advance and not just on the day itself that such appts exist, so some kind of warning is needed to say this is the list of appointments you need to reschedule.
This is valuable feedback and I’ll add this to our list of enhancements make to the product!
Thank you @EamonnOMeachair and @Hansa Rastogi. I am looking forward to seeing where this goes =)
