Hey Dr. P,
Great question! To split a claim and allocate separate UDAs to both a therapist and a dentist in Dentally, you’ll need to make sure each practitioner handles their own treatments separately. Here’s how you can do it:
• Chart separately: Each practitioner should chart their own treatments individually.
• Complete and charge: Make sure the treatments are completed and charged under their respective names.
• For NHS claims: The owning dentist should log in and click the “submit claim” button on the plan. Before submitting, they’ll need to set themselves as the practitioner on the claim form.
This process ensures that the Income Report accurately reflects the work done by each associate, and UDAs are allocated correctly.
For tracking monthly allocations, including UDAs, we recommend using the Payment Allocation Totals report instead of just the NHS UDAs report. Here’s why:
• Comprehensive view: The Payment Allocation Totals report includes both NHS and private work, making it ideal for calculating associate payments.
• Automatic adjustments: It accounts for adjustments, refunds, and corrections from previous months, ensuring accuracy.
• Deposits management: Deposits are excluded until used for completed treatments, giving a clear picture of actual earned income.
• Multi-site benefits: If you’re part of a multi-site practice, this report shows allocations across all sites, which is incredibly useful.
To access the Payment Allocation Totals report:
1. Go to Reports in the left-hand toolbar.
2. Open the ‘Payment Allocation Totals’ report in the ‘Financial’ section.
3. Set the date range for the period you want to review.
4. You’ll see the total owed to each practitioner, including all payment allocations and adjustments.
And of course, feel free to ask here if you need more guidance—I’m happy to help!
Hi,
when doing an NHS claim, before we have even carried out any treatment the system puts on a charge. if say we are doing a band 2 , then a band 2 charge is automatically applied to the first practitioners claim and 3 udas are allocated to that claim. . if then the therapist carries out the treatment i.e the fillings then how do we separate the udas on the claim for the therapist who carried out the fillings but the initial dentist has only carried out the examination?
Hello DR P!
In Dentally you can include a Dental Care Professional (DCP), like a therapist, on your NHS claims. Here’s how you can do it:
1. Set Up Your Therapist as a DCP:
Go to Settings > Users > Practitioners, select the therapist’s profile, and update their DCP type. This step ensures they can be added to NHS claims in their proper role.
2. Add the DCP to the Claim:
When you’re submitting an NHS claim, you’ll now see a dropdown option to select a DCP. By choosing your therapist here, you can reflect the fact that they carried out certain treatments (e.g., fillings) under that claim.
3. UDA Allocation and Main Performer:
The claim will still list the primary performer (usually the dentist who did the examination), but including the DCP on the claim helps ensure the NHS reporting is accurate and credits the correct practitioner for their part of the treatment.
While the principal dentist will remain as the main performer, adding the DCP details ensures proper acknowledgment of the therapist’s work within the NHS claim structure.
Hope this helps! If you have any other questions, let us know.
