CONCIERGE treatment plan - multiple treatments

Good afternoon, 

Have any other practices came across the issue of signing treatment plans when there have been multiple treatment “plans” given?

EXAMPLE - The top of the “treatments to sign” will say 1 / 2 but will not allow us to move to treatment 2 / 2 without first signing the 1 / 2 treatment plan. 

This becomes problematic when we have given a patient treatment options. We like to keep them on separate treatment plans for ease of clinical use and information on each treatment plan.

Are you experiencing this issue specifically within Dentally Portal when patients are signing online, or does this occur in a different part of our system? I’ll need to investigate this further as I haven’t personally seen it before.
 

Right now Concierge steps the patient through any unsigned estimates it finds, in sequence so you can’t jump to “2/2” without acting on “1/2”, which is why you’re seeing that behaviour. 

 

If you prefer to keep using Concierge/Portal, another light-touch approach is to only generate/share the estimate for the chosen plan at the point of decision, and leave the alternative as a charted plan (or generate the other estimate later). Patients can review and sign estimates via Portal/Concierge once they’re there. Hopefully this helps 😊

unfortunately the IPad app is no longer available in Au. 
 

we are having to delete and re-do estimates for patients to sign so the correct one is the one that appears first in a patients portal. 
Is there a way to make a treatment plan invalid so we don’t have to delete treatment plants from the communication tab. It removes the “paper” trail for reception

Thanks, this makes sense. Quick clarification for AU: Concierge is available and works on supported devices once paired. If it’s not showing on your device, we can help check setup/permissions (I’ll edit the previous message to clarify)

There’s a quick workaround we can try to keep the record, and hide from Portal:

  1. Open the estimate from the patient’s Correspondence tab → View → download/print to PDF. 

  2. Back in Correspondence: New correspondence → Upload document and re-upload that PDF with a note like “Superseded/Not to sign – [reason/date]”. 

  3. Now delete the original estimate item so it no longer appears for online signing. (Heads-up: deleting a correspondence item is permanent, which is why we re-upload first.) 

Going forward (to avoid the 1/2 → 2/2 issue): only generate/share the estimate for the chosen plan; leave alternatives charted without an estimate until the patient decides. Patients can sign estimates in Portal, and they’ll see ones from open/closed plans (last 5 years). 

Let me know if this helps, otherwise I’ll log a feature request for a cleaner flow: “mark estimate as Superseded (hide from Portal) without deletion,” and/or the ability to pick which estimate to present first in Concierge. 😊

@Saymon  We are all fully set up and using the concierge app. 
 

The PDF is a very long way to go around, and then we cannot select “estimates” from the patients correspondence tab  we then have to search for uploads. This in itself becomes problematic for ease of functionality.

Plus the issue with NOT creating as estimate until the patient decides - 

1) how does the patient decide between different treatment options if No treatment plan estimates have been given?

2) We need to provide costs associated with treatment planning and appointments required for the proposed treatments. The Australian Dental Association and Aphra regulation require all treatment costs to be available to the patient. 
 

I feel like having the option to swipe between treatment plan options, either to view or sign/approve a treatment option, this would be much more beneficial for the patient and the staff using the concierge app. 
Also having the option to make a treatment plan invalid means we can see that we have given a patient a treatment plan/estimate but the treatment plan is now invalid either due to the patient not choosing to go ahead with some treatments or declining totally.
In addition, if prices have increased the old treatment plans can be marked as invalid and doesn’t appear on the patients treatment concierge app. 

Also if we have patient's checking in through the concierge app, patients are confused that they have “outstanding” treatment plan/s to sign that they have declined to proceed with at the time.

Thanks for the details. I get it, yes, the PDF workaround is a bit clunky and doesn’t help with showing cost options. Right now Concierge steps patients through each unsigned estimate in order; there’s no “skip/decline” or “mark invalid” state yet, and deleting is the only way to stop an estimate showing for online signing. 

One thing that can help (less painful than PDFs) is If your practice uses courses of treatment, Concierge only shows actions for the latest course. In some setups, moving the chosen plan/estimate into a new (latest) course  or closing the earlier course can keep declined options out of Concierge while preserving the full record in Correspondence. (Patients can still see/signed items via Portal per your configuration, but Concierge won’t surface the older course.) 

Totally understand how important this is so I’m going to ask our Support team to reach out to you and help you find a solution to this as they have the tools to look into your account and have more visibility into your setup.

I’m also sharing a new feature request with our Product team (so we fix this properly):

  • Add “Declined/Invalid/Superseded” status for estimates → keeps audit trail, hides from Concierge/Portal.

  • Let staff choose which estimate to present first (or let patients swipe between options) when multiple are valid.

  • Allow a “skip/decline with reason” step in Concierge so the patient can move from 1/2 to 2/2 without signing 1/2.
