Hi all,

One thing (and most likely the only thing) we miss from SOE Exact is the automated short notice list. We get so much whitespace over weekends and Bank Holidays as pts cancel their appts via sms or the portal.

Before Dentally our system automatically filled the gap with someone on the list, now we have to keep a huge list using Microsoft Lists of all the pts wanting a short notice appt and manually call them.

For a 10 surgery practice this takes up so much time for my reception teams to be checking the list if they see a gap, it would be so much easier if Dentally did it for us.

I spoke to someone at a Elevate a while ago who “assured” me and my colleague that it was in the pipeline but that was nearly 2 years ago.

I wondered what other people are doing and if Dentally have any plans to prioritise this over other smaller “non essential” updates they are applying. 😁
Dont get me wrong, Dentally is the best investment we made as I can work from anywhere, as Operations Manager, that is essential to our business but we would like some really useful features to ease the strain on our admin teams.

Hi there!

Thanks for sharing this! I can see how an automated short notice list would make life so much easier for your team, especially in a busy 10-surgery practice! Manually keeping a list and making calls takes a lot of time and effort, and I get why this would be such a useful addition.

The good news is that this kind of feature is absolutely on our radar. While I can’t make promises or share any timelines right now, I can tell you that we’re always exploring ways to enhance Dentally with features that save time and improve workflows, especially in high-impact areas like this. I’ll make sure to update this post over the following months if I have any more concrete updates.

If anyone in the community has tips or processes they use to manage short notice lists, feel free to share some ideas below.

Thanks again for sharing this! It’s exactly the kind of feedback that helps us shape the future of Dentally. 😊

@RegentStreet85 I completely feel and share your pain when it comes to managing short-notice waiting lists. We operate short-notice 'priority' lists too, and it’s incredibly frustrating trying to fill a gap in the diary, it can be so labour-intensive calling each patient individually.

To speed things up, we use SMS and email templates to contact patients on the list, but even this is time-consuming as they still need to be sent individually. Come on, @Saymon and the @Dentally team, how about giving us the ability to send bulk messages to patients on our lists? It would make a world of difference!

Another approach we use is including a prompt in our newsletters, recalls, confirmation, and cancellation confirmation emails, encouraging patients to regularly check for last-minute availability on the patient portal.

I hope some of these suggestions are helpful, good luck managing those short-notice gaps!

Hey @Lesley Morgan-Barlow,

Thanks for jumping in and sharing your experiences! Your idea about bulk messaging for priority lists is spot on, and you’re definitely not alone in wanting this! In fact, it’s feedback that’s already been raised and shared with our team. It’s always helpful for our Product team to hear more voices behind a feature request like this as it shows just how valuable it could be for so many practices.

I’ll keep you updated if there’s any movement on this from the team.

Thanks again for taking the time to add your voice, it really makes a difference! 😊
