Can dentally integrate with phones?

Can dentally be linked and integrate with VOIP phones? This would hopefully allow caller ID to be displayed, ie when Mr Daniel Smith calls the practice, with his patient file already in Dentally, his name would pop up on the display to give a personal touch.

VOIP also can allow a phone transcript to be created and so when Daniel Smith calls, a text file would get saved under the correspondence tab in dentally when the call took place and the details.

Is this possible, easily done?

Hey there!

 

Right now, Dentally doesn’t have built-in VoIP integration for things like caller ID pop-ups or auto-saving call transcripts. That said, it is possible to set something up using our API, though I get that custom development isn’t always practical.

 

I’ll make sure to share your feedback with our Product team. In the meantime, it’d be really helpful to hear more about what you’d like to see—any specific features or workflows that would make the biggest difference for your practice? 😊

 

Also, I know some of our customers have successfully linked Dentally with VoIP software. If you’ve done this, please share your experience and tips here to help others out!

Hi, 

 

We use a company called Yo Telecom, they link with Dentally through an external provider called Mondago and when a pt. calls the little pop up window tells us who the patient is then we click a button and dentally opens the patient details.

This depends on the phone system you use, we use 3CX and we are able to integrate called ID with Dentally so it shows who is calling using the universal API / wizard and custom template made for 3CX to call Dentally’s API. I’d start with speaking to the support provider of the system to see if it can be integrated.

We also use Open AI connected to the system to transcribe all of our calls, with a longer term view of having all calls logged automatically and the sentiment using AI added to the call logs automatically. This cannot be done at the moment due to the way Dentally is structured, but hoping this could be made workable in the future.

Hi any experience of Yo Telecom or Global 4 , On Hold Comms to integrate with dentally and the telephones? Any feedback much appreciated. Is it worth the money? Does it improve your service?

Hi, We use Yo Telecom, great linking service, synce to Dentally every 6omins and opens pt data on screen for you. Saves loads of time

I would really love to see this also, and more comprehensively have Dentally talk to a CRM system also (beyond just tracking phone calls).
It’s the missing link at the moment to really take the management of customer service to the next level.

Ask Yo Telecom for Demo first please, their integrated software is not always fast enough to get the patient on the screen, most of the time you can do it faster manually. 

So dont waste your money for a non practical extension.

“Please consider making the patient phone number field on the patient detail page a clickable ‘tel:’ link (e.g., <a href="tel:[number]">). This would improve workflow efficiency by allowing users to dial directly from the browser or softphone without additional steps. The field already displays a dynamic number per patient, so this should only require a front-end rendering update. Come on… this is relatively easy for you and will make our job much easier. Don’t try and lock us into a specific phone provider. It will be very off-putting. Thank you.

I recently spoke with a team that uses Voicestack, which directly interacts with their patient mgmt system Carestack. Their feedback is that Voicestack has decreased receptionist note-taking time by 70% and significantly increased accuracy of recorded info. Voicestack’s AI transcripts even record the tone of the phonecall to note whether a patient was happy/angry/distressed etc.

Some specific instances in which Dentally-native VOIP technology would greatly improve practice management (especially for a small team):

  • On busy days, and depending on who answers the phone, calls aren’t always recorded via correspondence. This creates knowledge gaps in how a patient is being handled or what the next steps are. 
     
  • We have one receptionist on duty, who can’t take calls when there is a patient at the front desk, when the line is already busy, or when they are at lunch. VOIP integration would ensure a more consistent patient experience if a different member of the team picks up those phonecalls. 
     
  • As mentioned above, the reduction in note-taking time is precious for a receptionist under pressure!  
     
  • Dentally has good data security, and your having on-shore servers in Australia is especially reassuring. I am wary of using third-party software to transcribe conversations with patients, as these parties may not offer the same level of data security.
