I am just wondering if anyone else is experiencing this problem, and if anyone has any solutions, or if Dentally perhaps could roll out my suggested fix. 

 

Example. 

You have a full day of appointments, and the dentist needs to close the day (for some short notice reasson)

You close the day using the schedule, but there is nothing to highlight to users that the day now has appointments in a day that is scheduled to close.  Our clinic has 12 assoc columuns in the calendar, so the space between them is narrow, and you cannot clearly / easily see the white gap is replaced by grey.   Obv, we do alert the team that the day is closed, and that they need to reschedule the day, but as with all staff, sometimes, we can be busy, and takle it later, and then for some reason it is overlooked, forgotten and again their is no prompt to highligt the issue. 

On a day that is not fully booked, it is very onbious.  But also on a day that is very lightly booked, your calendar could be on am view / pm view (where you dont see the full day) and you dont realise there is one apt out of view that is in a closed day. 

 

This has come to light as we have two pregnant assoc, who have had to close days short notice, but has caused us to miss one, where it was closed for two weeks out, rec team decided to wait to start reschedule the next day after we alerted them, then the rec staff was out sick, and before we new it, we were on the day, and none had been cancelled, and assoc was not in. 

 

 

My idea of a fix. 

My idea of an ideal fix, would be…..if a clinic is using schedules to run the calendar, then if there was a feature in the background, that would have code written to do the below. 

If the schedule is set to closed, and there is an appointment (any appointment) in the closed section, then the assoc name square on top would change to red, to alert any user, that there is a schedule conflict in said column.  This would hightlight any apt that is in a closed schedule, in a closed period (early am or early pm) or overrunning into lunch block. It would not stop one placing an apt, or scheduleing in one on purpose, but it would alert all users, to double check this column, and ask/check, is all ok here, and if not, I need to correct something. 

 

 

I do understand, that this may or may not be a common issue, but I would be eager to know if any other clinics have had this issue.  We migrated from exact, and when we had this before and closed a day, all apts would change red, but now, there is no obv visual cue. We do LOVE dentally, but feel that my example of a solution above, would make it even better, and make it easier for all users to see conflicts when using schedules.

Thanks so much for taking the time to share this. Your example really highlights the challenges that can arise with short-notice closures. It’s also great to hear that you’re enjoying Dentally overall, and we really appreciate feedback like this to help us make it even better.

 

Currently, while Dentally doesn’t have a feature to visually flag scheduling conflicts as you described, there are a few tools that might help in the meantime:

Calendar overrides: If you mark a day as unavailable, it will block the calendar for bookings and grey out the column.

Change view settings: You can use the “Closed Days” filter to review closed days more easily.

Blocked schedules: The system prevents new bookings during unavailable times but doesn’t flag existing ones.

 

I can absolutely see how a more prominent visual indicator, like the red alert on the associate’s name square you suggested, would be incredibly helpful in preventing oversights, especially for large practices with multiple columns.

 

I’ve already passed your feedback along to our Product team, as this is an issue we’ve heard from others as well. The level of detail you’ve provided about how it impacts your workflow is incredibly valuable. While I can’t promise immediate changes, I’ll keep this post updated with any news or developments. 😊
